We advise you to export the CSV file directly from your platform: this will serve as a basis for completing the user information because the column headings will already be completed, especially the segment categories.
You must make sure that the file is in .csv and not .xslx. This is the only format accepted by the platform.
The useful information for each user is therefore :
F irst name
Last name
Professional e-mail
Employee code if no work email This allows the user to connect to the platform using their first name and employee code. This code is personal and unique. You can create it from 0 or use the employee number that appears on the payslip.
Phone number This field is optional. It is only necessary if you use sms solicitations and reminders.
Language This defines the language of the platform for the user. Here are the codes for the various existing languages on the platform: English: en │ German: de │ Mandarin Chinese: zh │ Danish: da │ Spanish: es │ French: fr │ Hindi: hi │ Italian: it Japanese: ja│ Dutch: nl │ Norwegian : no │ Polish: pl │ Portuguese: pt │ Romanian: ro │ Russian: ru │ Slovak: sk │ Swedish:sv│ Czech: cs │ Thai: th │Vietnamese: vi │
Role This is where we assign a role on the platform for each user. This will condition his access (see the section on access rights and roles)
Email manager The manager of each user is identified here, and it is thanks to this identification that the Bleexo engine will reconstitute the hierarchical pyramid. We'll identify people belonging to the same team, as well as N+1, N+2,...
NB: the email manager must be attached to an existing user, so you cannot enter an employee code in this column.
NB2: if a user has no manager (e.g. Director, CEO), leave the box empty. Entering the user's own e-mail address will create an anomaly known as a "hierarchical loop".
Presence: this column allows you to deactivate certain people who are absent during surveys. You can reactivate them when they are active and present again. This allows you to optimize your participation rate according to the actual number of people present at the time of the survey. 0 = absent/deactivated OR 1 = present/active
Example : An employee on long-term sick leave, maternity/paternity leave or parental leave will not be available to complete the survey.
When a person is deactivated, they do not receive the survey solicitation emails but they do receive the welcome message on the platform when you first register them.
NB: if a person leaves your company, you must delete his or her record, not deactivate it.
From column J, these are the segments you've created. You'll only see the category heading (e.g. Genre, Service,...) and you can manually enter the corresponding segment.
NB: This file is case-sensitive, so extreme care must be taken when creating it. If the structure of the file does not correspond to that of theExport csv file proposed by the platform, then the Bleexo engine will not be able to identify the correct segments and will report these errors.
Example : If, in the Segmentation tab, you enter a "Gender" segment type with two segments, "Female" and "Male", then these segments must be entered identically in your file. You can't enter "F" and "H" in your csv file, as this is not the case in the segmentation.
🚨New from September 29, 2023🚨
For segments defined as "multi-segment", you can add several segments of the same type to the box using ";".
Example: you have a "Project" segment type and a person is part of the "Project 1" AND "Project 2" segment. In the "Project" column, you would write "Project 1; Project 2" for this person.
